Accounting Coordinator

DEPARTMENT: Finance

REPORTS TO: Financial Controller

SUMMARY:

Oversees the accounting processes with the guidance of the Financial Controller, including the Salesforce/Accounting SEED automated billing system for multiple divisions, monthly financial analysis, month end close, as well as financial reporting and other projects.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Maintain monthly schedules and bank reconciliations.
  • Assist with month end close and related reports.
  • Analyze monthly financial reports and document conclusions.
  • Draft and process journal entries as needed.
  • Review project milestones from SF to be approved for timely invoicing.
  • Oversee invoice creation once milestones are approved including billing for all locations.
  • Be responsible for ancillary billings, supply billings/log and credits on account.
  • Perform oversight for automated invoice submissions.to recipient(s) and customer portals if required.
  • Maintain all customer, open accounts receivable files.
  • Generate AR & AP aging reports and analyze unapplied deposits.
  • Process customer statements and manage collection efforts.
  • Oversee all vender PO tracking.
  • Assist Controller with accounting tasks as needed.
  • Assist with annual financial audit requests/reporting.
OTHER REQUIREMENTS:
  • Excellent verbal and written communication skills.
  • Knowledge of standard accounting tools and ability to learn new software systems.
  • Commitment to discretion and confidentiality regarding sensitive financial information.
  • Ability to work independently towards meeting specific timelines and goals. Highly motivated with proven ability to take initiative and generate new ideas.
  • Attention to detail.
QUALIFICATIONS:
  • Proficiency in general accounting methodology and experienced in bookkeeping practices.
  • Education/Experience:Required: Accounting Finance Degree, 1 – 4 years of experience with accounting tools and understanding of software systems.
  • Working knowledge of accounting, and financial reporting, and generally accepted accounting principles.
  • Certification/Licensure: Driver’s license.
WORK ENVIRONMENT:
  • General office working conditions, with generally quiet noise conditions.
COMMENTS:
  • May require occasional duties on weekends and/or holidays.
